Job Description

Reporting to the Director of Sales & Marketing, the role of the Marketing Assistant, is to provide front desk management and marketing support. The Marketing Assistant has varied responsibilities and is trusted with the day-to-day operations in the Sals & Marketing department. As Marketing Assistant, she/he will support the overall corporate marketing strategy by planning and coordinating a variety of WATERAX marketing activities such as trade shows and events, organizing and maintaining proper online marketing documentation (shared drive). This work will be a critical factor for the smooth operation of the Marketing department and the attainment of its goals, as well as for the long-term growth of the company.

The Marketing Assistant’s desk is located in the reception area. This position is the initial contact and first impression of WATERAX, it is essential that he/she is hospitable and courteous. The Marketing Assistant is also responsible for performing clerical tasks within an office setting to support daily operations. These duties include answering and transferring phone calls to employees, sorting and delivering mail to employees, greeting visitors when they arrive for meetings with management or sales staff and runing errands while maintaining professional composure throughout interactions with customers or potential clients.

Roles & Responsibilities

  • Undertaking daily administrative tasks to ensure the functionality and coordination of the department’s activities;
  • Checking voicemails, emails, and social media inquiries for company accounts; forwarding messages to appropriate members of their team when necessary;
  • Act as liaison by answering telephone system, screen calls and direct to the appropriate department;
  • Overseeing the info@waterax mailbox and directing to the appropriate department;
  • Receive mail, special deliveries, packages and distribute them to the right party;
  • Greeting, assist and directing visitors to the correct office, including preparing, stocking and maintaining the organization of the conference room for meetings;
  • Making travel arrangements and dinner reservations for Sales team and executives;
  • Organizing files for billing, customer and client records, etc.
  • Online ordering for stocking general office supplies and equipment;
  • Coordinate promotional and corporate events, sales and training meetings, trade show participation (this is include updating an event calendar);
  • Act as liaison to support the trade show program; Includes exhibit logistics management on-site;
  • Coordinate special events organized during trade show participation, such as sales meetings and event marketing initiatives;
  • Organize internal events such as the annual Holiday party, Summer BBQ, occasional pizza lunches, guest lunches;
  • Attend meetings and various events (conferences, team meetings, etc.) and take the meeting minutes when required;
  • Assist team members with day-to-day marketing communications tasks and coordinate projects and activities as requested;
  • Supporting marketing executives in organizing various projects;
  • Keep promotional materials ready (including forms, stationary, business cards, newsletters, sales packages and all other commercial documentation); inventorying stock; placing orders; verifying receipt;
  • Send out promotional packages to channel partners and influencers;
  • Internal communications (newsletter);
  • Help in the production of in‐house mailers;
  • Performs other related duties as assigned by management;
  • Adhere to all WATERAX policies and procedures pursuant to sales administration processes and guidelines;
  • Adhere to WATERAX guidelines and policies in matters of ethics and code of conduct;

Education & Experience

  • Proficient in Microsoft office (Word, Excel, PowerPoint);
  • Excellent communication and interpersonal skills;
  • Diploma of Collegial Studies in either Marketing or Communications (or equivalent)
  • Proven experience as a marketing assistant;
  • Valid driver’s license;

Skills & Competencies

  • Excellent and effective oral and written communication abilities in English / French. Spanish is an asset;
